Warmy Email Alerts are real time notifications that let you know when something may be affecting your email warm up or overall deliverability. These alerts help you protect your sender reputation, maintain consistent email performance, and keep your setup running smoothly. They are designed to help you stay informed about potential issues, without needing to constantly check your account or understand complex deliverability metrics.

Why Are Alerts Important?

Warmy Alerts help you:

• Identify when Gmail, Outlook, MS365, or Google Workspace block or reject your emails.

• Automatically pause sending when needed to help prevent the issue from getting worse.

• Receive simple instructions that guide you through fixing the problem yourself.

• Keep your domain healthy and improve the chances of your emails reaching the inbox.



Warmy allows y
ou to configure email alerts at two different levels:

  1. Workspace Level (applies to the entire workspace)
  2. Domain Level (applies only to a specific domain)

    Supported Providers: You can configure user-facing alerts for Gmail, Google Workspace, Outlook, and MS365. (Note: Yahoo tracking configuration is currently an admin-only feature. Contact support to adjust this).

    Resetting to Defaults: If you want to remove a domain-level override, use the "Apply Workspace Settings" option at the domain level to immediately reset it back to your workspace defaults.

    Bulk Management: If you manage a large account with hundreds or thousands of domains, our Support Team can bulk-apply provider tracking settings across multiple domains or reset all your domain overrides at once. Reach out via chat to request bulk configurations.



 Option 1: Configure Alerts at the Workspace Level

  1. Log in to your Warmy account

  2. Select the Workspace: If you only have one workspace, it will be selected automatically. If you have access to or manage multiple workspaces, click the workspace selector and choose the workspace where you want to configure alerts.

  3. Once the correct workspace is selected, click the workspace name and then click Settings.

  4. In the Settings menu, click Alert Preferences.

  5. In the Alert Preferences section, choose which email providers you would like to receive alerts for.

    You can enable or disable alerts individually for any of the following providers:

    • Gmail
    • Google Workspace
    • Outlook
    • Microsoft 365

    If you prefer to apply the same setting to all providers at once, use the Enable All or Disable All options located at the top of the panel.

  6. Click Save to apply your settings.

    Your workspace-level alert configuration is now complete.




 Option 2: Configure Alerts at the Domain Level

  1. Log in to your Warmy account.

  2. Choose the workspace that contains the domain you want to configure. If you only have one workspace, it will already be selected by default.

  3. Now that the workspace has been selected, from the left-hand sidebar menu, click Dashboard.

  4. Locate the domain selector dropdown. If you only have one domain, it will be selected automatically. If you have multiple domains, click the dropdown and select the domain you want to configure.

  5. Once the domain is selected, click the Alerts tab.

  6. If alerts have not yet been configured for the selected domain, you will see the following message:

    "Email provider alerts are not enabled for this domain."

    On the right side of that message you there is an Edit option, click Edit.

    The Alert Preferences panel will open.

  7. Choose How You Want to Configure Alerts. You have two options:

    Option A:  Use Workspace Settings (This option is only shown when the selected domain is not set up to receive alerts from all available providers. For example, it will appear if no providers have been selected yet, or if only some providers are selected. If alerts are already enabled for all available providers, this option will not be displayed.

    Click Apply Workspace Settings.

    This will apply the alert preferences currently configured at the workspace level.

    Option B: Configure the Domain Independently

    If you want this domain to have its own settings, manually enable or disable alerts for:

    • Gmail
    • Google Workspace
    • Outlook
    • Microsoft 365

  8. Click Save to apply the selected configuration.

Your domain-level alert settings are now active.

Note: Warmy continues to detect deliverability issues for all providers in the background. Your configuration simply filters which alerts are displayed in your dashboard and sent as notifications.



 Common Alert Types

1. Unblock mailbox from reject by providers 

This alert appears when a provider such as Gmail, Outlook, Gsuite, or MS365 rejects your emails. Common reasons include:

  • Low sender reputation
  • Reaching sending limits
  • Spam complaints or blacklisting

What Happens?

To help protect your sender reputation, sending to the affected provider is temporarily paused.

When this alert is triggered, you will see a list of:

  • Required actions
  • Optional actions

After the required actions have been confirmed, the system starts a timed unblocking process (for example, 30 days for Gmail).

During this period, Warmy tests email delivery using internal mailboxes to check whether emails are being accepted by the provider again.

If the tests are successful, sending to that provider resumes automatically.


2. We cannot track your emails

This alert means that emails are being sent successfully, but Warmy cannot detect them in the recipients' inboxes.

As a result:

  • Emails cannot be marked as important.
  • Movement from spam folders to the inbox cannot be tracked.
  • Open and reply metrics may not be accurate.

Common Causes

This usually happens when:

  • Your mail server removes or modifies tracking headers.
  • The Message-ID is changed during the sending process.

How to Fix It

When this alert appears, you will be asked to choose one of the following options:

  • Proxy required headers (such as Origin-Message-ID).
  • Do not modify the Message-ID during delivery.

After selecting and confirming the appropriate option, Warmy will check the configuration again within 24 hours and automatically update the alert status.

If tracking still fails, support will help you sort it out.



How the Alert System Works

  • Alerts are triggered automatically based on Warmy's system analysis.
  • Each alert includes clear guidance and recommended actions, so you know exactly what needs attention.
  • Depending on the alert, you can choose to take action immediately or postpone it for later.
  • If necessary, Warmy will automatically pause sending to help protect your sender reputation.

Once the issue has been resolved, the alert status will change to Completed. You will also see a message similar to:

"All good! No issues or alerts. Everything is running smoothly."

This indicates that no further action is required and your mailbox is operating normally.

Example Scenarios 

  • If Gmail rejects emails due to reputation issues, Warmy will notify you and temporarily stop sending emails to Gmail.

  • If Outlook blocks emails due to an IP issue, an alert will be displayed with instructions on what to do.

Advanced Tip: API Access for Power Users

Warmy Alerts can also be managed via API:

  • Fetch your alerts: GET /api/v2/warmup_alerts

  • Confirm actions: PUT /api/v2/warmup_alerts/{alert_id}

  • Configure Provider Tracking: Use our new public API endpoints to read and update your provider tracking configurations at both the workspace-level and domain-level.
