This article explores email aliases, shared mailboxes, and collaborative inboxes, their functions, and whether they can be integrated with Warmy.
What is Email alias:
An email alias is a forwarding address, meaning that all emails addressed to the alias, are forwarded to one or more specified accounts. The alias itself has no inbox, no login, and cannot be used to send emails
When is an alias useful?
As a temporary address for online use
An alias comes in handy if you need to make your email address publicly available online, for example, in a job ad or if you are trying to sell something.
The problem with having your address visible to everyone is that it will quickly become a target for spam and all kinds of other unwanted mail. By using an alias, you can have it online for as long as you need, and then simply delete it once the job is filled or your item is sold.
If you fulfill more than one role
When you are starting a business, people usually fill multiple roles, and departments are not clearly defined. However, you don't want to have all emails addressed to mary.jones@example.com. By creating a couple of email aliases, for the CEO, marketing, and sales department, you can appear a lot more professional.
For an internal mailing list
If you maintain a mailing list, for example for your drama club, or school, using an alias will improve efficiency. You only need to send your mailing to one address, automatically forwarding it to all accounts that are added as a forwarding address. And since all forward addresses need to be verified, you can be sure they are correct.
Another advantage is that the receivers cannot see all the other addresses the mail was forwarded, making it more private and secure.
What is Shared Mailbox:
Shared mailbox is a feature of Microsoft 365 that allow multiple users to access a single mailbox, making them ideal for company-wide emails, support addresses, reception desks, or other shared functions.
Users with the appropriate permissions can send emails as or on behalf of the shared mailbox, provided the administrator has granted them access. This feature is especially beneficial for help desks and customer support teams, ensuring seamless communication and collaboration.
What is Collaborative Inbox:
A Collaborative Inbox is a feature within Google Groups designed to help teams manage and respond to emails collectively. It functions as a shared email space where multiple users can access, assign, and track conversations efficiently
Can I connect Email alias, Shared mailbox, and Collaborative inbox to Warmy?
Email aliases, Shared mailboxes, and Collaborative inboxes are structured differently from standard email accounts, which makes them incompatible with Warmy. Here’s why:
1. Email Aliases
- An alias is not a separate mailbox—it simply forwards emails to a primary account.
- Since Warmy requires direct access to an inbox for warming and deliverability tracking, aliases cannot function independently within Warmy.
2. Shared Mailboxes
- Shared mailboxes do not have individual login credentials, meaning they cannot authenticate with Warmy.
- They rely on delegated access, which prevents Warmy from performing automated warm-up processes or tracking sender reputation effectively.
3. Collaborative Inboxes
- Collaborative inboxes in Google Groups are designed for team-based email management rather than individual sending.
- They lack direct SMTP/IMAP access, which Warmy requires for monitoring and improving deliverability.
Since Warmy optimizes sender reputation and inbox placement for individual email accounts, these mailbox types do not meet the technical requirements for integration. If you need an alternative, using a dedicated email account with proper authentication (SPF, DKIM, DMARC) would be the best approach.
