Bulk actions for mailboxes

The article will walk you through the bulk actions -  the feature that allows users to make changes for several mailboxes at once.



What are "Bulk Actions"?


Managing mailboxes can become challenging when you warm-up a large number of mailboxes. While changing the warm-up topic, maximum volume, mailbox status, or "From name" is not something difficult for a single mailbox or a small number of mailboxes, applying such changes for 100 or more can be really time-consuming and risky.

To simplify this process, you can use the "Bulk Options" feature in the "Mailboxes" menu to make updates in bulk - no need for opening each mailbox one by one.




How do the "Bulk Actions" work?

You can utilise the "Bulk Actions" feature either by uploading the CSV file ("CSV" option) or within the built-in "App" option.

Both work in a similar way, but the "CSV" option will be more convenient for the users, who interact with Warmy using our API, or want to perform per-mailbox customisation in their account. A useful option if you prefer your own bulk-action templates.
The "App" option is the best for uniform actions, allowing you to apply the same settings for the selected mailboxes.


How to manage mailboxes with "Bulk Actions"?

First of all, log in to your Warmy.io Account and navigate to "Mailboxes" on the left-side menu.

You should see the "Bulk Actions" tab in the opened page. Click on "Bulk Actions".

There, on the right side, should be the "Create" button.

App Option

If you choose to create bulk actions with "App", you will be offered to select the mailboxes from the list by marking them one by one. Or you can sort your mailboxes by "Provider", by "Domain", and/or "Plan". Do not forget to select the mailboxes after applying the filters.

Once selected, please click "Next". On the next step, you should choose the action:

  1. Change Status - to update mailbox(es) status

  2. Change daily limit - set the maximum warm-up emails per day

  3. Update topic - change the topic of your warm-up emails

  4. Update "From name" - set up the "From name" for the selected mailboxes

You can choose only one action from the list.


When you choose the action, click "Next" to move to the final step. "Configure" step will ask you to specify the details for the selected action (e.g. if the action is "Update topic", you will need to pick up the topic from the list; if the action is "Change Status", you have to specify the status the system should apply; and so on).

If you feel that you missed something, feel free to click the "Back" button and return to earlier steps. It's always better to re-check what you are doing to avoid mistakes.

Finally, click the "Start" button to launch your bulk actions. Depending on the number of chosen mailboxes, it may take a few minutes to perform the action. During this time, you will see the "In progress" status; once completed, the status will change to "Completed".

Keep an eye on the "List of errors" table to spot errors that can occur during bulk actions. If, for some reason, the process completed with errors, you can click on the number in that table to download a file with the description of the errors.

CSV Option

The "CSV" option offers the same list of actions you saw in "App". Once you select the action to perform, click "Next" to move to the last step.

There, you can download an example CSV file to edit it with the list of mailboxes for which you want to apply bulk actions. If you have already downloaded the file in the past, simply edit it with the necessary data.

In the CSV file, you should add the following information:

  1. Mailbox ID (the mailbox ID can be retrieved either with the Warmy API request, or by clicking on the mailbox in the "Mailboxes" and checking the numbers after mailboxes in the URL)

  2. Email (enter the mailbox name)

  3. Custom table depending on the selected action (e.g. state, from name, etc.)

When you fill in all the tables with the necessary information, simply drag&drop your CSV file and click the "Start" button to launch bulk actions.

Just like it works for the "App" option, the status will be "In progress" while the system is working on your  query, and will change to "Completed" when finished.
